Turn a finished job into a professional PDF invoice in seconds \u2014 photos and documents included \u2014 then track payments and export tax-ready data.<\/p>\n

Generating an Invoice<\/h2>\n

  1. Open the work order and tap Generate Invoice<\/strong><\/li>\n
  2. The Attach to Invoice<\/strong> screen appears \u2014 pick any repair photos or vehicle documents to include in the PDF (or tap Skip<\/strong> for a clean invoice)<\/li>\n
  3. Preview the PDF, then share or save<\/li>\n<\/ol>\n

    What’s on the Invoice<\/h3>\n

    • Header<\/strong> \u2014 your company name, logo, address, and phone; invoice number and date<\/li>\n
    • Customer & vehicle<\/strong> \u2014 contact info, year\/make\/model, VIN, mileage<\/li>\n
    • Itemized repairs<\/strong> \u2014 each repair’s description, labor hours and cost, parts with prices, and subtotal<\/li>\n
    • Summary<\/strong> \u2014 labor total, parts total, tax, grand total, payments received, and balance due<\/strong><\/li>\n
    • Attachments<\/strong> \u2014 any photos and documents you selected, appended to the PDF<\/li>\n<\/ul>\n

      The invoice number is the work order number<\/strong>, so your paperwork and the app always line up.<\/p>\n

      Your Branding<\/h3>\n

      Set your company name, address, phone, and logo once in Settings \u2192 Company Information<\/strong> \u2014 it appears on every invoice.<\/p>\n

      Sharing an Invoice<\/h2>\n

      After generating, tap Share<\/strong> and send it anywhere: Mail<\/strong>, Messages<\/strong>, AirDrop<\/strong>, Save to Files<\/strong>, or any app that accepts PDFs (Dropbox, Google Drive, and so on).<\/p>\n

      Recording Payments<\/h2>\n

      1. Open the work order and scroll to Payments<\/strong><\/li>\n
      2. Tap Add Payment<\/strong> \u2014 amount, date, and method (Cash, Check, Credit\/Debit Card, or Other<\/strong>)<\/li>\n
      3. Save \u2014 the balance due updates automatically<\/li>\n<\/ol>\n

        Partial payments are fine:<\/strong> add as many payments as it takes; the remaining balance is always current.<\/p>\n

        The Financials tab tracks cost, profit, payments, and the outstanding balance.<\/figcaption><\/figure>\n

        Nice touch:<\/strong> if you set a work order’s status to Payment Received<\/em> while it still shows a balance, Side Wrench offers to record the payment right then \u2014 so “marked paid” and “actually recorded” never drift apart.<\/p>\n

        Tax & Business Export (Premium)<\/em><\/h2>\n

        Export your financials to CSV for your accountant or tax software:<\/p>\n

        1. Go to Settings \u2192 Data Management \u2192 Tax & Business Export<\/strong><\/li>\n
        2. Pick a date range: Current Year, Last Year, Current Quarter, Last Quarter, Last 30 Days, Last 90 Days,<\/strong> or a Custom Range<\/strong><\/li>\n
        3. Tap Export<\/strong> and share or save the CSV<\/li>\n<\/ol>\n

          What’s in the Export<\/h3>\n

          One row per repair \u2014 date, work order, customer, vehicle, repair description, labor hours\/rate\/income, parts cost, markup and revenue, discounts and fees, total revenue, payments, balance due, and profit margin \u2014 followed by a summary section<\/strong> with your totals for the period, organized for Schedule C filing.<\/p>\n

          The file opens in Excel, Numbers, Google Sheets, or any spreadsheet app.<\/p>\n

          Backups: Export & Import All Data (Premium)<\/em><\/h2>\n

          In the same Data Management<\/strong> section, Export All Data<\/strong> saves your complete database as a JSON file, and Import Data<\/strong> restores it \u2014 a portable backup that’s entirely in your hands.<\/p>\n
